Data Deletion Instructions

Conviro is a customer-support platform that processes Instagram and WhatsApp direct messages on behalf of businesses that opt in to the integration. If you have ever sent a message to a business that uses Conviro, or if you are a business owner who connected your account, you have the right to request deletion of all data we hold about you. There is no charge and no account required.
What data do we delete?
- Every direct-message conversation between you and any business using Conviro — content, timestamps, message attachments.
- Session metadata (browser, device, referrer, IP-derived approximate region) tied to your Instagram or WhatsApp user identifier.
- AI-generated summaries, intent tags, and sentiment analysis derived from those conversations.
- For business owners only: your Conviro account, all team-member accounts you created, chatbot configurations, knowledge-base content, and any connected channel credentials (Instagram, WhatsApp, email).
Aggregate analytics that cannot be re-identified (e.g. “X messages per day across all tenants”) are retained as part of our service-level statistics and are not personal data under GDPR Recital 26.
How to request deletion
Option 1 — End-customers (you messaged a business through Conviro)
Email [email protected] and include the Instagram username or WhatsApp phone number you used to contact the business. We may ask for additional verification before deleting data. We will confirm receipt within 48 hours and complete the deletion within 30 days, as required by GDPR Article 17.
Option 2 — Business owners with a Conviro account
Sign in at app.conviro.io/login, go to Settings → Account → Delete account and confirm. Deletion is queued and completed within 24 hours; you will receive an email at the address on file when the process is complete. This action also removes every customer conversation that flowed through your tenant.
Option 3 — Revoking via Instagram or Facebook
If you remove Conviro from your Instagram account settings (Settings → Apps and websites → Conviro → Remove) or the equivalent Facebook page, Meta automatically notifies us. We issue a deletion confirmation code which you can track at useconviro.com/data-deletion/<code>. Meta delivers the code to your registered email; you do not need to take any further action.
Verification & timing
Conviro processes deletion requests within the following service levels:
- Meta-initiated revocations: queued instantly, completed within 24 hours.
- Self-serve account deletions: queued instantly, completed within 24 hours.
- Email requests: acknowledged within 48 hours, completed within 30 days.
Once a deletion is complete the data is removed from our primary database and purged from rolling backups within 35 days. Encrypted offsite backups expire on the same 35-day schedule so no archived copy survives beyond that window.
What we cannot delete
A small set of records is retained for legal compliance and cannot be erased by request:
- Billing invoices (kept for 7 years per Estonian and EU tax law — these contain business-owner details, never end-customer data).
- Audit log of administrator actions (kept for 1 year for security investigations — never includes message content).
